Role responsibilities  

  • To perform confidential secretarial and other administrative duties as required by the Anaesthetic Directors and to ensure the efficient running of the office in their absence.
  • Provide direct support to the Directors and Clinical Support Officer with respect to recruitment including initiate process, comply with guidelines and prepare all relevant documentation for advertising, interviewing and appointment of staff.
  • Coordinate and manage testing appointments, communicate with patients and complete correspondence for these appointments.
  • To work as part of a team to ensure the efficient operation of the Anaesthetics Department.
  • Assist with preparing and distribute medical staff rosters.
  • Ensure efficient operation of the office in the absence of the Clinical Support Officer and exercise judgement when necessary to solve immediate administrative problems in situations where precedents have not been set, and procedures not defined.
  • Examine, prioritise, and determine action of incoming correspondence, including emails, written correspondence, and reports.
  • Manage enquiries effectively through intercepting, screening, and redirecting as appropriate.
  • Provide quality services in word processing, spreadsheet development and drafting of routine correspondence.
  • Maintain an effective office record system in conjunction with other administrative staff within the Service Group, of confidential documents, papers, internal correspondence, personnel files and management of computerised data.
  • Provide a high level of knowledge of systems and applications including Word, Excel, Outlook, RMS, PowerPoint, ieMR, myHR, Visio, S4HANA and Learning on Line (LOL).

Employment Term

  • Permanent full-time

Generous remuneration package value up to $94,810 p.a.comprising:

  • Salary rates between $2864.10 - $3185.10 p.f. (AO3)
  • Annual leave with 17.5% loading
  • 12.75% employer superannuation contribution

The ideal applicant will be someone who has proven ability and can demonstrate the following:

  • Demonstrated high standard of administrative and secretarial skills and ability to prepare complex documents and draft replies to correspondence demonstrating advanced computer skills utilising appropriate software.
  • Demonstrated organisational skills with the ability to plan and prioritise workloads with competing deadlines whilst working autonomously.
  • Demonstrated skills in the use of word processing and spreadsheet applications and hospital information systems including S4 Hana, Springboard, myHR, ieMR as well as an ability to acquire knowledge of other computer applications and databases.
  • Possession of advanced interpersonal and oral communication skills, incorporating the skills of tact to liaise and consult with all levels of the private and public sector and to respect clients' confidentiality and interests.
  • Demonstrated ability to work within a team environment.
