The role  
As the Executive Support Officer, you play a crucial role in supporting efficient and effective operations in the Office of the Executive Director. Your duties encompass the coordination and management of confidential activities for the Executive Director, including email and diary management, travel arrangements, and event organization. Additionally, you analyse incoming correspondence, prioritise actions, and offer protocol-related advice to staff, using effective communication.

Collaborating diplomatically with stakeholders at various levels, you provide administrative support functions for the senior management team and staff within the branch. Operating with a high degree of autonomy, you make informed decisions, proactively resolve issues, and contribute to enhancing branch efficiency through the development of procedural guidelines. Your commitment to working in accordance with departmental policies and procedures and ethical decision-making aligns with the organization's objectives, fostering a productive and harmonious working environment.

The successful person
To excel in this position, you must have proven experience providing top-tier executive support in a dynamic office environment and possess a solid understanding of senior executive office functions. Your interpersonal skills, including tact, discretion, and sensitivity, alongside your ability to maintain confidentiality and professionalism while communicating with senior management and staff, are paramount.

Furthermore, your highly developed organisational abilities are essential, enabling you to adapt to shifting priorities in a fast-paced setting and optimise efficiency and productivity. Your track record of effectively collaborating within a team environment to achieve organisational goals within specified timeframes, fostering positive team dynamics, and resolving issues promptly and appropriately, is also key.

Under the leadership of the Deputy Director General, QPHaSS brings together key system support functions and the surveillance, prevention and control of communicable diseases and public health risks in Queensland. This includes leading the state-wide planning and coordination of programs and services to prevent or control, health-related diseases, hazards and harmful practices and enhance protective health factors to promote the overall health and wellbeing of Queenslanders. The scope of service covers the whole State across four key pillars - Pathology Queensland; Biomedical Technology Services; Forensic and Scientific Services; and Public Health.
