Heres what the role looks like:

The Physical Records Team Lead should possess a strong knowledge of the record types specific to the oil industry: This includes understanding industry regulations, compliance standards, and retention schedules for various types of records. Experience in managing external vendors and service providers.

Supervising and guiding the records management team: As a team lead, the individual is responsible for overseeing the daily operations of the records management team. This includes providing technical guidance, assigning tasks and managing retrievals & return of records from the storage provider to ensure that the team members are working efficiently and effectively to meet goals.

Experience in managing physical records: The candidate should have hands-on experience in overseeing physical records management. They should have expertise in maintaining accurate inventories, tracking records movement, and ensuring proper handling and security of sensitive documents

Requirements

Attention to detail and organizational skills: Given the critical nature of physical records management, the candidate must have exceptional attention to detail and strong organizational skills. They should be meticulous in record labelling, categorization, and indexing.

The Physical Records - Team Lead should possess good communication skills to effectively liaise with various stakeholders within the clients and the storage company. This includes collaborating with department leads, legal teams, and compliance teams to ensure accurate index records, transmittal forms, address inquiries, and providing reports on records status and compliance.
